Fleet management software

Fleet management software built for South African fleets

See every vehicle, trip, cost and document in one system. T-ERP combines live tracking, asset profiles, tyre records and per-vehicle profit and loss, and connects them to your maintenance, freight, compliance and accounting.

The problem

You cannot manage a fleet you cannot see

Many fleets run on a tracking portal, a few spreadsheets and a WhatsApp group. The information exists, but nobody sees it in one place, so decisions are made on gut feel.

Nobody knows where the truck is right now

Dispatchers phone drivers and wait for replies. Yard departures, site arrivals and unauthorised movements go unrecorded.

Breakdowns arrive without warning

With no service schedule tied to real meter readings, vehicles fail on the road, trips are cancelled and customers are left waiting.

Loss-making vehicles hide in the totals

Revenue lands in one place and fuel, tyres and repairs in another, so you cannot tell which assets make money and which drain cash.

Capabilities

One record per vehicle, with everything attached

The fleet module is the backbone of T-ERP. Every other part of the system, from trips to payroll, refers back to the same vehicle record.

Live fleet tracking

Every vehicle on one map, with GPS positions refreshed every 30 seconds plus speed, heading, driver and active trip.

Geofence alerts

Define yards, customer sites and restricted zones. Arrivals, departures and unauthorised movements are captured automatically.

Asset profiles

Registration, VIN, engine number, purchase cost, book value and depreciation, linked to every work order, tyre, document and trip.

Telematics integration

Speed, idling, harsh braking, harsh acceleration and fuel data flow in from your existing provider. Your hardware investment is protected.

Tyre management

Each tyre tracked by serial number and axle position from fitment to disposal, with cost per kilometre calculated for you.

Fleet P&L

Revenue from completed trips set against fuel, tolls, maintenance, tyres and overheads, per vehicle and for any date range.

In detail

How T-ERP runs your fleet day to day

Fleet management in T-ERP is not a separate tracking screen. It is the shared record that operations, the workshop, compliance and finance all work from.

One live map for the whole operation

From the boardroom to the workshop floor, everyone sees the same picture.

Every vehicle appears on a live map with GPS coordinates updated every 30 seconds. Zoom in on any asset to see its current speed, heading, driver name and active trip.

The fleet map is available on the ERP dashboard and in the Manager mobile app, so supervisors can follow the operation from anywhere without being tied to a desk.

Geofence alerts notify you the moment a vehicle enters or leaves a defined zone. Yard departures, customer site arrivals and unauthorised movements are logged against the vehicle and the trip.

On the map for each vehicle

  • Live GPS position
  • Speed and heading
  • Assigned driver
  • Active trip
  • Geofence events
  • Manager app access

A complete digital file for every asset

Purchase to disposal, in one place and always up to date.

Every vehicle has a full profile: registration, VIN, engine number, purchase date and cost, current book value and depreciation schedule.

The profile links directly to maintenance history, tyre records, compliance documents and trip history. One click from the asset takes you to every work order ever raised against it.

Document tracking is built in: licence disc, roadworthy certificate, cross-border permits and any custom documents you define. Expiry alerts fire automatically, so nothing lapses unnoticed.

Asset profile fields

  • Registration and VIN
  • Purchase cost and depreciation
  • Compliance documents
  • Tyre positions
  • Maintenance history
  • Trip and revenue history

Telematics data where it is actually useful

Keep the tracking units you already have.

T-ERP connects to your existing telematics provider through our middleware server. Speed, idling time, harsh braking, harsh acceleration and fuel consumption flow into the ERP with no manual entry.

Each event is linked to the relevant trip and driver. A harsh braking event on a specific trip shows on the trip record, the driver scorecard and the compliance dashboard at the same time.

We support the major South African telematics providers, and if your provider has an API we can integrate it.

Profit and loss per vehicle, not per fleet

Know which assets earn their keep, and which do not.

The fleet P&L shows revenue, fuel, tolls, maintenance, tyre costs and fixed overheads per vehicle for any period. Revenue comes from completed trips; costs come from fuel transactions, work orders, tyre records and toll captures. No spreadsheets.

Drill down from any line to the source transactions. If maintenance spiked in March, you can see the work orders behind the number in two clicks.

Performance reports cover utilisation, load factors, route efficiency and cost per kilometre over time, and trend forecasting projects maintenance, tyre and fuel spend so you can budget with data.

Fleet reports

  • Fleet utilisation
  • Cost per kilometre trend
  • Route efficiency
  • Fuel consumption
  • Tyre cost per kilometre
  • Maintenance cost forecast

How it works

From new vehicle to live profit figures

  1. Asset registered

Vehicle added with its full profile, documents and opening meter reading.

  2. Telematics connected

GPS and telematics data start flowing into the fleet module automatically.

  3. Trips assigned

The vehicle is assigned to freight orders and revenue is tracked per trip.

  4. Costs captured

Fuel, tolls, maintenance and tyre costs are allocated to the vehicle as they happen.

  5. P&L calculated

Profitability per vehicle in real time, without building a spreadsheet.

FAQ

Fleet management questions

What is fleet management software?

Fleet management software keeps the records and processes behind a commercial fleet in one place: where vehicles are, what they cost, when they are due for service and whether their documents are valid. T-ERP adds freight, maintenance, compliance, accounting and payroll in the same system, so nothing has to be captured twice.

How is ERP fleet management different from a tracking portal?

A tracking portal tells you where a vehicle is. ERP fleet management also ties that vehicle to its trips, revenue, fuel, tyres, work orders and documents, so you can see what each asset earns and costs, and act on it.

Do I need to replace my existing tracking units?

No. T-ERP connects to your current telematics provider through our middleware server. We support the major South African providers, and if your provider offers an API we can integrate it.

How often are vehicle positions updated?

The live fleet map refreshes GPS positions every 30 seconds, both on the ERP dashboard and in the Manager mobile app.

Does it suit mining and plant hire fleets as well as haulage?

Yes. The same fleet records support transport and tipper, mining and plant hire operations. Our industry pages explain what is specific to each.
