Key Numbers
The Problem
What we see in the field
Expired PrDPs and licences are a legal time bomb
No system for tracking expiry dates. You find out a credential has lapsed when a driver is stopped at a roadblock.
Shift planning is a weekly nightmare
Spreadsheets, WhatsApp groups, and phone calls to figure out who is working when. Conflicts and gaps are discovered on the day.
You have no objective measure of driver performance
No data, no scorecards, no basis for coaching or incentives. Good drivers and bad drivers are treated the same.
T-ERP solves all of this.
How It Works
People & Workforce in T-ERP
A detailed look at every capability in this department and how the system handles it.
Credential Management
Every licence, certification, and qualification tracked per employee.
Every employee in T-ERP has a credential register: driving licence, PrDP, medical fitness certificate, dangerous goods certification, and any custom credentials you define. Expiry dates are tracked for every document.
Automated alerts fire at 90, 60, and 30 days before expiry - to the employee, their manager, and the compliance officer. No credential lapses without multiple warnings.
Credential status is checked automatically when a driver is assigned to a trip. If a required credential has expired, the assignment is blocked and the manager is notified. No expired PrDPs on the road.
Tracked Credentials
- Driving licence (code & expiry)
- PrDP (category & expiry)
- Medical fitness certificate
- Dangerous goods cert
- Cross-border permits
- Custom certifications
Shift Calendar
Visual shift planning with templates and conflict detection.
The shift calendar shows the entire workforce schedule on a single screen. Drag and drop to assign shifts. Shift templates for common patterns (day shift, night shift, rotating) can be applied in bulk.
Conflicts are detected automatically: double-booking, insufficient rest between shifts, and overtime limit breaches are all flagged before the schedule is published.
Employees can view their own schedules via the mobile app. Shift swap requests are submitted through the app and approved by managers in the ERP. No WhatsApp groups required.
Shift Management
Driver Duty Sessions
Drivers clock on/off via the mobile app with automatic hour tracking.
Drivers start and end their duty sessions via the T-ERP Driver App. Clock-on captures the start time and GPS location. Clock-off captures the end time, total hours, and any break periods taken.
Duty session data feeds directly into fatigue management, payroll, and compliance reporting. Hours worked are calculated automatically - no manual timesheets.
Managers can see the duty status of every driver in real time on the fleet dashboard. Who is on duty, who is on break, and who has exceeded their hours limit.
Duty Session Flow
Performance Scorecards
Monthly automated scorecards from telematics and operational data.
Driver performance scorecards are generated automatically at the end of each month. Scores are calculated from telematics data (speeding, harsh braking, idling), operational data (trip completion rate, POD capture rate), and compliance data (fatigue events, inspection failures).
Scorecards are visible to the driver via the mobile app and to their manager in the ERP. Trends over time show whether performance is improving or declining.
Scorecard data feeds the incentive scheme calculation. Top performers are identified automatically. Coaching needs are flagged for managers.
Scorecard Metrics
- Speeding events
- Harsh braking score
- Fuel efficiency
- Trip completion rate
- POD capture rate
- Fatigue compliance
Training & Development
Schedule training events, track attendance, manage mentoring.
Training events are created in T-ERP with date, venue, trainer, and required attendees. Invitations are sent automatically. Attendance is captured on the day via the mobile app.
Training records are linked to the employee's credential register. Completing a training course can automatically update a certification record and reset its expiry date.
Mentoring programmes are tracked in T-ERP: mentor assigned, sessions scheduled, progress notes recorded. Build capability systematically, not randomly.

- Attendance tracking
- Credential auto-update
- Mentoring programmes
- Training history
- Effectiveness reporting
Incentive Schemes
Define performance-based incentive rules with automatic calculation.
Incentive schemes are defined in T-ERP with rules based on scorecard metrics: a driver who scores above 85% on their monthly scorecard earns a defined bonus. Rules are flexible and can combine multiple metrics.
Incentive calculations run automatically at the end of each period. The calculated amounts are passed to the payroll module for inclusion in the next pay run. No manual calculation.
Incentive scheme performance is reported monthly: total paid out, average score, top performers, and trend over time. Measure whether your incentive scheme is actually driving the behaviour you want.
