From Order to Invoice.Zero Manual Steps.
Every freight order, every trip, every delivery - managed in one system. Drivers get assignments on their phones. Managers approve from anywhere. Invoices generate themselves. Your operations team stops chasing paper and starts driving revenue.
Key Numbers
The Problem
What we see in the field
Orders are created in one place, tracked in another
WhatsApp for assignments, spreadsheets for tracking, email for POD. Nothing talks to anything else.
Invoicing happens at month-end, not trip-end
Your finance team spends a week every month manually matching trips to invoices. Cash flow suffers. Errors creep in.
Proof of delivery gets lost
Paper delivery notes go missing, get damaged, or arrive weeks late. Disputes with customers have no evidence to resolve them.
T-ERP solves all of this.
How It Works
Operations & Freight in T-ERP
A detailed look at every capability in this department and how the system handles it.
Freight Order Management
Create, assign, and track freight orders from pickup to proof of delivery.
Freight orders are created in T-ERP with all the details: customer, origin, destination, commodity, weight, rate, and any special instructions. Orders can be created manually, imported via EDI, or generated automatically from recurring schedules.
Each order moves through a defined status workflow: Draft, Confirmed, Assigned, In Progress, Delivered, Invoiced. Every status change is timestamped and logged. You always know exactly where every order is.
Customer portals and automated WhatsApp notifications keep your clients informed at every stage without your team having to make a single phone call.
Order Lifecycle
Automated Trip Generation
Recurring freight orders automatically create trips on schedule.
Define recurring freight schedules once - daily, weekly, or on a custom pattern. T-ERP creates the trips automatically at the scheduled time, assigns the default vehicle and driver, and notifies everyone involved.
Automated trips can be reviewed and modified before they go live. If a vehicle is in the workshop or a driver is on leave, the system flags the conflict and prompts you to reassign.
Bulk trip creation handles high-volume operations. Create hundreds of trips from a rate schedule import in minutes, not hours.
Automation Impact
Visual Resource Pairing
Drag-and-drop assignment of drivers and vehicles to trips.
The resource pairing screen shows all unassigned trips on the left and all available drivers and vehicles on the right. Drag a driver onto a trip to assign them. The system checks qualifications, hours worked, and vehicle availability in real time.
Conflicts are highlighted immediately - if a driver is already assigned to another trip, or a vehicle is due for service, you see it before you confirm the assignment.
Bulk assignment tools let you assign an entire day's trips in minutes. Filter by route, vehicle type, or customer to find the right resources fast.
Assignment Checks
- Driver availability
- PrDP validity
- Vehicle roadworthiness
- Hours worked today
- Fatigue risk score
- Vehicle capacity vs load
Digital Proof of Delivery
Drivers capture POD with digital signatures on their phones.
When a driver arrives at the delivery point, they open the T-ERP Driver App and capture proof of delivery: customer signature on screen, photos of the delivered goods, and any delivery notes or exceptions.
POD data syncs to the ERP in real time over mobile data. If there is no signal, it queues locally and syncs automatically when connectivity returns. No POD is ever lost.
POD documents are automatically attached to the trip record and the resulting invoice. Disputes are resolved in seconds - the evidence is always there.
POD Captures
- Customer signature
- Delivery photos
- Timestamp & GPS location
- Condition notes
- Quantity confirmation
- Exception reporting
Automated Invoicing
Trip completes, invoice generates automatically based on pricing rules.
When a trip is marked as delivered and POD is captured, T-ERP checks the pricing rules for that customer and route, calculates the invoice amount, generates the invoice document, and sends it to the customer - all without human intervention.
Pricing rules are flexible: per kilometre, per tonne, per trip, or any combination. Surcharges for fuel, tolls, and waiting time are applied automatically based on the captured data.
Invoices post directly to the accounts receivable ledger. No double-entry. No month-end batch. Your finance team sees the invoice the moment the driver completes the delivery.
Auto-Invoice Flow
Toll & Fuel Tracking
Every toll gate and fuel receipt captured and allocated automatically.
Drivers capture fuel receipts and toll transactions via the mobile app using the AI document scanner. Point the camera at the receipt - the system reads the amount, date, and location and files it to the correct trip.
Toll transactions from e-toll accounts can be imported automatically and matched to trips based on vehicle and timestamp. No manual allocation.
Fuel and toll costs are allocated to the trip, the vehicle P&L, and the customer invoice (if applicable) simultaneously. One capture, three records updated.
