Sage and Pastel alternative

A Sage alternative for transport and mining businesses

Accounting packages are good at the books. They were not built to plan loads, track a fleet or run a maintenance schedule. This page is for transport, mining and plant hire businesses deciding whether they have outgrown theirs.

Good at the books, not built for the operation

Many South African businesses keep their books on Sage or Pastel, or on Xero. There is good reason for that: an accounting package looks after the ledger, invoices, VAT and statements well, and your accountant knows it.

T-ERP was started by people who came from finance, and we saw the same gap in business after business. Packages like these were never meant to plan loads, track a fleet or run a workshop. Enterprise systems can be shaped into almost anything, but at a cost most small and medium operators cannot justify. A lot of good transport and mining businesses end up in the middle, with the books in one place and the operation in spreadsheets, WhatsApp groups and paper.

So when people search for a Sage alternative or a Pastel alternative, the real question is usually not which accounting package to use next. It is whether the business now needs one system that holds the operation and the accounts together.

When an accounting package is enough

If most of these describe your business, keep what you have. You do not need an ERP yet.

  • One company, a handful of vehicles and one person doing the admin
  • Your operational records are simple enough to keep in a spreadsheet beside the books
  • Invoices are few, and capturing them by hand takes minutes, not days
  • Nobody is asking you for RTMS, mine-site or maintenance evidence
  • Payroll is small and does not depend on trip, overtime or shift data

Signs you have outgrown it

If several of these sound familiar, the books are fine but the business around them has grown past what an accounting package was designed to do.

  • Trip, load and weighbridge data is re-typed into invoices at month-end
  • Fuel, tyres and repairs reach the books as totals, so nobody knows what each truck or machine costs
  • Job cards, service schedules and parts live on paper or in a separate spreadsheet
  • Driver licences, PrDPs, COFs and permits are tracked on a wall chart or in someone's head
  • An RTMS audit or a mine-site inspection means days of gathering paper
  • Overtime and allowances for drivers and operators are worked out by hand before payroll runs
  • Several companies or sites are reconciled in spreadsheets before anyone sees a full picture

What changes with one system

The same everyday work, done with an accounting package plus spreadsheets and separate tools, and done in T-ERP. The left column describes a typical setup, not any one product.

In T-ERP, operations, maintenance, compliance, finance and payroll share one database, and every cost is tied back to an asset or an employee.

Operations
Freight orders, trips, proof of delivery and trip-based invoicing, with fleet tracking data from the provider you already use.
Maintenance
Preventive services by kilometres, engine hours or date, work orders, job cards, tyres and parts, costed to each asset.
Compliance
Driver licences and PrDPs, vehicle documents, inspections and RTMS reporting from the same records.
Finance
Full double-entry general ledger, bank reconciliation, budgeting, VAT reporting and financial statements, fed by operational transactions.
Payroll and HR
South African payroll with PAYE, UIF and SDL, payslips, the EMP201 return and IRP5 certificates, plus leave and contracts.

Moving across: what migration involves

Changing the system behind your books sounds bigger than it is when it is planned properly. At a high level, the work is:

  • Discovery: how your operation and your finance team work today, and which tools hold which data
  • Master data: customers, suppliers, vehicles and machines, drivers and employees, and rates, brought across from Excel or your current system
  • Opening balances, so the ledger in T-ERP starts where your current books leave off
  • Checking the data as it comes in, so old errors do not move into the new system
  • An agreed go-live point, so you do not drop your current tools before T-ERP is ready to take over

The detail is on our implementation page. We host T-ERP on our own managed infrastructure and train your office, workshop and finance users on the parts they use.

Questions about switching

Is T-ERP a Sage alternative?

For transport, mining and plant hire businesses, yes. T-ERP includes a full double-entry general ledger, bank reconciliation, budgeting, VAT reporting, financial statements and South African payroll, and it also runs the operation: trips, fleet, maintenance, fuel and compliance. If you only need to keep the books, a dedicated accounting package may suit you better.

Is it also a Pastel alternative?

The same reasoning applies. If your business runs vehicles or machines and the books are fed by trip, fuel, workshop and payroll data kept elsewhere, one system that holds the operation and the accounts removes the re-capturing in between.

What do we need to bring across from our current accounting system?

At a high level: opening balances and master data such as customers, suppliers, vehicles and machines, drivers and employees, and rates. These can be migrated from Excel or from the system you are leaving, and we check the data as it comes in.

Do we have to stop using our current system on day one?

No. We agree the go-live point with you during planning, so you are not forced to drop your current tools before T-ERP is ready to take over.

Does T-ERP handle VAT and payroll submissions?

T-ERP calculates VAT on applicable transactions and produces the VAT201 from live data. Payroll runs produce payslips and the EMP201 return, and IRP5 certificates are generated at year end.

Is T-ERP only for large companies?

No. T-ERP was built for small and medium operators who are too big for spreadsheets and too small for an enterprise system. You start with the modules you need, set up around how your business runs.
