Implementation and onboarding

How T-ERP implementation works

Moving to a new system is the part most businesses worry about. We start by learning how your operation runs today, set T-ERP up around it, bring your data and tracking across, train your people and stay with you after go-live.

The rollout

From first conversation to a system your team relies on

Every rollout follows the same path, but what happens at each step depends on your business. No two setups are the same.

  1. Discovery: how your operation runs today

Before anything is configured, we learn how your business actually works: your fleet and sites, your routes and rates, how loads are planned, how approvals happen, how the workshop runs, how payroll is done and what your auditors and customers ask for.

We also look at the tools you use now, from spreadsheets and WhatsApp groups to tracking portals and accounting packages, so we know what data exists and where it lives.

  2. Configuration around your workflows

T-ERP is not a one-size-fits-all package. We set it up around what discovery showed us: your companies and sites, your approval steps, your rate structures, your document requirements and the modules you start with.

Where your process is sound, the system follows it. Where something gets in the way, we will say so and suggest a better route, but the decision stays yours.

  3. Data migration

Your existing records come with you. Vehicles and machines, drivers and employees, customers and suppliers, rates and opening balances can be brought across from Excel or from the system you are leaving.

We check the data as it comes in, so you start on T-ERP with records you trust rather than old errors in a new system.

  4. Tracker and system integrations

T-ERP integrates data from any existing telematics provider that can expose sufficient API data. We handle all of the ingestion, so the crucial data comes through and is tied in correctly on your T-ERP system.

That means you keep the tracking units you already have, and the positions and events they produce land on the right vehicle, trip and driver in T-ERP.

  5. Training

We train the people who will use T-ERP every day: the office, operations, the workshop, finance and management, each on the parts of the system that matter to their work.

Drivers and operators are shown how to use the T-ERP mobile app for their trips, inspections and captures, so the information starts at the source.

  6. Go-live

We agree the go-live point with you, so you are not forced to drop your current tools before T-ERP is ready to take over. On go-live we stay close to your team while the first real loads, job cards and invoices run through the system.

  7. Ongoing refinement

Go-live is not the end of the project. As your team gets used to T-ERP and your business changes, we keep refining the setup with you: new sites, new contracts, new reports and better ways of working.

Telematics

Keep your trackers. We bring the data in.

Most operators already pay for tracking. You should not have to replace it to get the benefit of an ERP.

T-ERP integrates data from any existing telematics provider that can expose sufficient API data. We handle all of the ingestion, so the crucial data comes through and is tied in correctly on your T-ERP system.

During discovery we look at what your provider makes available and agree which data matters to your operation, from positions and trips to driver behaviour events.

After go-live

Hosting, updates and support

Once you are live, we keep the system running and keep improving it with you.

Hosting

We host T-ERP on our own managed infrastructure, so we look after reliability, maintenance and uptime for you. Your data stays yours.

Updates and support

We maintain the system, roll out updates and help your team when they get stuck, so T-ERP keeps working the way your operation needs it to.

Integrations that keep running

Once your tracking data is coming in, we keep the ingestion running and tied to the right records as your fleet grows.

FAQ

Implementation questions

How long does it take to go live?

It depends on the size of the operation, how many modules you start with and the state of your current data. We agree a plan with you after discovery, once we understand what needs to be set up and migrated.

Do we have to stop using our current system on day one?

No. We agree the go-live point with you during planning, so you are not forced to drop your current tools before T-ERP is ready to take over.

Can you import our spreadsheets?

Yes. Vehicles, machines, drivers, employees, customers, suppliers, rates and opening balances can be migrated from Excel or from your previous system, and we check the data as it comes in.

Which tracking providers do you integrate with?

T-ERP integrates data from any existing telematics provider that can expose sufficient API data. We handle all of the ingestion, so the crucial data comes through and is tied in correctly on your T-ERP system.

Who trains our drivers and staff?

We do. Office, operations, workshop, finance and management users are trained on the parts of T-ERP they use, and drivers and operators are shown how to use the mobile app.

Is T-ERP set up the same way for every client?

No. Every operation is different, so T-ERP is configured around your workflows, approvals, rates and reporting after we have learnt how your business runs today.

Start with a conversation about your operation

A 30-minute consultation is the first step of every rollout: we look at how you run today and show you what T-ERP would look like set up for your business. No obligation.
