Fuel management software

Fleet fuel and diesel management software

Every fill recorded against a truck or machine, consumption worked out for you, bowsers and supplier statements reconciled at month-end, and the actual cost of fuel landing on each trip and each vehicle. Fuel inside your ERP, not in a separate spreadsheet.

The problem

Diesel is a big cost that most fleets only see at month-end

For trucking, mining and plant hire fleets, fuel is one of the largest running costs. Yet in many operations the only fuel figure anyone looks at is the supplier statement total.

Fills live on slips and statements

Paper slips, card statements and bowser logbooks each hold part of the picture, and nobody joins them up until someone asks why the bill went up.

Consumption is a guess per vehicle

Without fills tied to odometer or engine hour readings, a truck or machine that burns too much looks the same as every other one in the total.

Bowser stock never quite balances

Litres delivered into the tank and litres issued to vehicles drift apart, and the difference disappears into the month without an explanation.

Capabilities

Fuel records that add up, from the fill to the P&L

Fuel management in T-ERP sits on the same vehicle, trip and accounting records as the rest of the system, so a fill is captured once and used everywhere.

A record for every fill

Litres, price per litre, odometer or engine hours, supplier or bowser, fuel station and receipt, against the truck or machine that took the fuel.

Captured from the mobile app

Drivers and operators record fills on the T-ERP app, with a photo of the slip and the location of the capture attached to the record.

Consumption per vehicle

km/L by default, with L/100km as a toggle, and L/hour for yellow plant and machines that run on engine hours.

Bowser and tank control

Opening, received, issued and closing litres per bowser or tank, with unaccounted litres shown rather than hidden.

Supplier reconciliation

Captured fills checked against supplier invoices and statements each month, with the litres variance per supplier.

Fuel cost per trip and vehicle

Fills link to freight orders and cost centres, and the reconciled cost feeds trip costing and per-vehicle profit and loss.

In detail

How T-ERP handles fuel day to day

From the moment a truck pulls up at the pump to the month-end close, each step builds on the one before it.

Every fill recorded against a vehicle

One record per fill, captured where it happens.

Each refuel record holds the truck or machine, the date, litres, price per litre and total cost, plus the odometer or engine hour reading at the time. It shows whether the fill was an internal refuel from your own bowser or tank, or an external refuel from a supplier, and whether the tank was filled to full.

Drivers and operators can capture fills on the T-ERP mobile app. The slip photo is attached to the record, the location of the capture is stored, and the fill is linked to the operator and, where relevant, to the freight order the vehicle was working on.

Each fill can also carry a cost centre, so fuel used on a particular site, contract or division is reported where it belongs.

On every refuel record

  • Truck or machine
  • Litres and price per litre
  • Odometer or engine hours
  • Supplier or bowser
  • Slip photo
  • Freight order and cost centre

Consumption per truck and per machine

Worked out for you from real meter readings.

Between full-tank fills, T-ERP works out the distance travelled or engine hours run since the last fill and calculates consumption. Trucks show km/L by default, with L/100km available as a toggle for anyone who prefers it.

Yellow plant and other machines that are measured on engine hours show L/hour, so an excavator or loader is judged on the measure that makes sense for it.

Because every fill sits on the vehicle record, you can compare consumption across similar vehicles and over time, and spot the unit that is burning more than it should.

Bowser and depot control

Know where every litre in your own tanks went.

For each bowser or tank, the monthly reconciliation shows opening litres and value, litres received, litres issued, and closing litres and value.

Issues are checked against the refuel records captured for vehicles. The difference is shown as unaccounted litres, so a gap between what left the tank and what went into vehicles is visible and can be followed up.

Per bowser or tank

  • Opening litres and value
  • Litres received
  • Litres issued
  • Closing litres and value
  • Litres on refuel records
  • Unaccounted litres

Fuel theft and diesel theft prevention

The signs of missing diesel, flagged instead of buried in a statement.

Diesel theft rarely shows up as one big loss. It hides in fills that are larger than the tank, in a truck that slowly starts using more per kilometre, and in bowser litres that never reach a vehicle. T-ERP checks for each of these as the records come in.

A fill bigger than the vehicle's stated tank capacity is flagged when it is captured. Consumption for each vehicle is compared with its own recent average, and a jump beyond the threshold you set raises an alert for possible fuel theft, a mechanical problem or a capture error. Where your telematics provider exposes fuel data, such as a CAN bus fuel-used counter, it is used to measure consumption more precisely.

Every fill carries the slip photo, the location of the capture and the driver or operator who captured it, and bowser issues that do not match vehicle fills show as unaccounted litres. When something is flagged, the evidence to follow it up is already on the record.

Flags raised

  • Fill larger than the tank
  • Consumption above the vehicle's average
  • Unaccounted bowser litres
  • Supplier litres variance
  • Odometer resets

Month-end fuel reconciliation

Captured fills against what suppliers actually charged.

The monthly fuel reconciliation compares, per supplier, the litres and cost captured on refuel records with the supplier invoices and statements. The litres variance per supplier tells you where captured fills and billed fills do not agree.

The reconciliation also works out the actual cost per litre for the month and shows it next to the captured cost, with a breakdown of how the price was built, so the fuel cost in your books matches what was really paid.

Fuel cost per trip and per contract

Fuel where the margin is decided.

A fill linked to a freight order becomes part of that trip's cost. The reconciled cost of fuel then flows into trip costing and the per-vehicle profit and loss, next to tolls, maintenance and tyres. Every cost in T-ERP is tied back to an asset or an employee, so you see the full financial picture of the business, not just the fuel bill.

With cost centres on each fill, fuel can also be reported per site or contract, which matters for mining contractors and plant hire businesses running machines on several jobs at once.

Diesel refund records

The records behind a diesel refund claim, kept as you go.

A diesel refund claim stands or falls on the records behind it. T-ERP keeps a dated record of every fill per vehicle and machine, with litres, cost, meter readings and the job or site the diesel was used on, so the information is captured as the work happens rather than rebuilt at claim time.

If the diesel refund matters to your business, tell us in the consultation and we will walk you through how T-ERP handles it for your operation.

How it works

From the pump to the profit figure

  1. Fill captured

Litres, price, meter reading and slip photo recorded against the vehicle.

  2. Consumption calculated

km/L or L/hour worked out between full-tank fills.

  3. Bowsers reconciled

Tank stock in and out checked against vehicle fills.

  4. Suppliers reconciled

Captured fills matched to invoices and statements at month-end.

  5. Cost allocated

The actual fuel cost lands on the trip, the cost centre and the vehicle P&L.

FAQ

Fuel management questions

How do I track diesel consumption per truck?

Record every fill against the truck with the litres and the odometer reading, and fill to full where you can. T-ERP then calculates km/L between full-tank fills for each truck, with L/100km as a toggle, so you can compare trucks and spot the ones using more than they should.

Can T-ERP track fuel for machines that run on engine hours?

Yes. For yellow plant and other machines, fills are recorded with the engine hour reading and consumption is shown in litres per hour.

How do I reconcile bowser stock?

Each month T-ERP takes the opening litres, litres received, litres issued and closing litres for every bowser or tank, and compares the litres issued with the fills captured for vehicles. Anything that does not match shows as unaccounted litres.

How does T-ERP help prevent diesel theft?

By making the signs visible while they can still be acted on. Fills larger than a vehicle's tank are flagged, consumption that rises above the vehicle's own average raises an alert, and bowser litres that do not match vehicle fills show as unaccounted. Each fill carries the slip photo, the capture location and who captured it, so a flag can be followed up with evidence.

Can drivers capture fuel slips on their phones?

Yes. Drivers and operators can record fills on the T-ERP mobile app and attach a photo of the slip, so the office has the evidence with the record instead of a pile of paper at month-end.

Does T-ERP help with the SARS diesel refund?

Yes. T-ERP keeps a dated record of every fill per vehicle and machine, with litres, cost, meter readings and the job or site it was used on, which is the information a diesel refund claim relies on. We set this up around how your operation qualifies for the refund.

Do I still need a fuel management hardware system?

That depends on your operation. Hardware such as bowser controllers controls and measures the dispensing. T-ERP keeps the records, reconciles them and turns them into cost per vehicle, per trip and per contract. Many fleets need both, and we can talk through where your current hardware fits.
